Refund & Cancellation Policy
Effective 28 August 2026 · Version 1.0
1. Cancelling
Once paid plans launch, you will be able to cancel at any time from your billing settings. You can also cancel, at any time, by writing to hello@itemzap.com — that route works today and always will. Cancellation stops the next renewal. There is no cancellation fee, no notice period, and no requirement to phone anyone or explain yourself. Cancelling will be as easy as signing up was.
2. What happens to your access
You keep full access until the end of the period you have already paid for. If you cancel mid-month or mid-year, the Service runs to the end of that term and then stops renewing. We do not cut you off on the day you cancel.
3. The general rule on refunds
Outside the country-specific rights below, fees already paid are not refunded, including for partly-used periods. Because access continues to the end of the paid term, cancelling early costs you nothing beyond the term you chose.
4. When we refund regardless of where you live
- Duplicate or incorrect charge — refunded in full once confirmed.
- Billed after you cancelled — refunded in full.
- The Service was substantially unavailable for a prolonged period through our fault — we credit or refund the affected part of your term.
- Whenever the law where you live requires it — see below.
A refund does not delete the billing record itself; we are required to keep those, as explained in the Privacy Policy.
5. Free plans and trials
Free plans involve no payment, so there is nothing to refund. If a trial converts to a paid plan and you did not intend it to, tell us within 7 days and we refund that first charge.
6. India
Indian law does not give a general cooling-off right for digital services, so section 3 applies. But the Consumer Protection Act, 2019 gives you rights we cannot write away, and nothing in this policy limits them. If a service is deficient, you may approach the consumer forum for your district regardless of anything said here.
Before that, please raise it with our Grievance Officer — we are required to acknowledge within 24 hours and resolve within 7 days. Details on the contact page.
7. Consumers in the EU and EEA
This section applies if you are a consumer — an individual buying ITEMZAP for purposes outside your trade, business or profession — and you live in the European Economic Area. It overrides section 3. Nothing here affects your statutory rights.
Your 14-day right to change your mind
You have 14 days to withdraw, without giving any reason. The period runs from the day your subscription is concluded — the day you complete your order, not the day you first log in.
ITEMZAP is a digital service, not digital content. You do not lose this right by starting to use it, and you cannot be asked to waive it. If anyone ever shows you a “I waive my right of withdrawal” tick-box on our checkout, it is a mistake and it is void — tell us.
How to withdraw
- our model withdrawal form; or
- any clear statement to hello@itemzap.com — email, ticket or letter. Your own words are fine.
You do not have to use our form. Sending your withdrawal before the 14 days end is enough, even if it reaches us later. We acknowledge receipt promptly and durably, recording its content and the date and time you sent it.
What you get back
- If you asked us to start immediately during the 14 days, you pay a proportionate amount for the period you had access, calculated on the total price of your billing period. We refund the rest. On a €10 monthly plan, withdrawing on day 7 means you pay €2.33 and we refund €7.67.
- If you did not ask us to start immediately, you pay nothing and get a full refund.
We refund within 14 days of receiving your withdrawal, by the same payment method you used, at no cost to you.
If something is wrong with the service
Separately from withdrawal you have a legal guarantee of conformity. If ITEMZAP does not work as it should, ask us to fix it. If we cannot, or do not within a reasonable time, or the problem recurs, you may be entitled to a price reduction or to terminate and be refunded — including any amount paid in advance for the period remaining. On an annual plan paid upfront, that means the whole unexpired remainder. These rights last as long as your subscription does.
Your data if you leave
If your subscription ends for any reason you may ask us to give back the content you put into ITEMZAP — asset records, warranty dates, uploaded bills and audit history — and we provide it free of charge, within a reasonable time, in a commonly used machine-readable format. You can also export it yourself at any time from Settings → Profile → Export My Data, which returns JSON including download links for your uploaded files. That export caps the activity log at the most recent 1,000 entries and tells you when it has done so; write to us and we will supply the remainder. We will not delete your content without first giving you a reasonable opportunity to retrieve it.
Changes to the service
If we change ITEMZAP during your subscription in a way that negatively affects you more than minimally, we tell you in advance and you may terminate free of charge within 30 days.
Law and disputes
Nothing in our Terms deprives you of the mandatory law of your country of residence or your right to sue in your local courts. The Coimbatore governing-law and arbitration provisions in our Terms do not apply to consumers in the EEA.
8. Consumers in the United Kingdom
If you are a consumer in the UK, you have a 14-day cancellation right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, running from the day the contract is concluded. Everything in section 7 above — how to cancel, the proportionate charge if you asked us to start immediately, the 14-day refund window, the data you can take with you — applies to you in the same way.
You also have rights under the Consumer Rights Act 2015 for digital content and services: they must be of satisfactory quality, fit for purpose and as described. Those rights cannot be excluded, and nothing here tries to. The Coimbatore governing-law and arbitration provisions do not apply to UK consumers.
9. United States
There is no general cooling-off right for online software in the United States, so section 3 applies. What we commit to instead is the part that actually matters:
- Cancelling will be as simple as subscribing was, in the same place, with no phone call, no retention script and no extra steps.
- We will tell you before we charge you. Before any subscription starts you will see the price, the billing interval, that it renews automatically, and how to cancel — and you will agree to that separately, in an unticked box you have to tick yourself.
- If we charge you after you cancelled, we refund it in full.
Some states — including California, Colorado and Massachusetts — give consumers additional automatic-renewal protections. Where they apply, they apply, and we follow them.
10. Australia
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For a major failure you are entitled to cancel your subscription and get a refund for the unused portion, or to compensation for any other reasonably foreseeable loss. If the failure is not major, you are entitled to have the problem fixed within a reasonable time, and if it is not, to cancel and be refunded.
These guarantees are not limited to individuals. If you bought ITEMZAP for a business and the amount was under AUD 100,000, you are still a “consumer” under that law and this section applies to you.
11. How to ask for a refund
Email hello@itemzap.com with your account email and the charge date. Approved refunds go back to the original payment method, normally within 5–10 working days depending on your bank. If you are unhappy with the outcome you can escalate to our Grievance Officer at grievance@itemzap.com — see the contact page.
